What You’ll Do

In this role, you will manage the execution of 2–3 concurrent CTO office projects by tracking timelines, coordinating stakeholders, and maintaining documentation that keeps teams aligned. Your impact will be ensuring project milestones are met on schedule and that operational friction is eliminated through organized, proactive communication. Success in this role will be measured by on-time project delivery, stakeholder satisfaction, and the team's ability to locate and reference project information quickly.

• Coordinate with project stakeholders to gather status updates, schedule check-ins, and communicate blockers or delays to the Operations Lead
• Track project timelines, milestones, and deliverables; update status documents and dashboards using Microsoft tools
• Maintain project files, documentation, and communication records in a centralized location to ensure team members can locate information quickly
• Prepare meeting materials, agendas, and detailed notes during key discussions; assist in preparing project summaries and status reports
• Coordinate logistics for CTO office initiatives, track action items, and follow up on deliverables across team projects
• Maintain and organize documentation in SharePoint and Microsoft 365 platforms; support information requests from the Operations Lead

Who You'll Work With

You'll be part of the Office of the CTO, reporting directly to the Operations Lead. Your primary collaboration will be with project stakeholders, cross-functional team members, and CTO office leaders who support research and innovation initiatives. You'll have occasional interaction with senior leadership (CTO, VPs) but will spend most of your time coordinating with project contributors and operational teams who rely on your communication and organization to stay aligned.

What Makes You a Qualified Candidate

• Bachelor's degree (or equivalent experience) in any field; Business, Communications, or Information Systems preferred
• Proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Word)
• Demonstrated ability to manage multiple tasks and shifting priorities simultaneously
• Excellent written and verbal communication skills
• Strong organizational skills and attention to detail
• Prior internship, co-op, or work experience in project support or administration preferred
• Expertise with SharePoint or other collaboration platforms preferred
