What You’ll Do
- Organize documentation in SharePoint and Microsoft 365 platforms.
- Coordinate logistics for CTO office initiatives.
- Track action items and follow up on deliverables across team projects.
- Prepare meeting materials, agendas, and take notes during key discussions.
- Support information requests for the Operations Lead.
- Process purchase orders and track approvals through procurement systems.
- Track invoice status to ensure timely payments.
- Maintain vendor contact database and support onboarding of new suppliers.
Coordination (35%)
- Support 2-3 active projects by tracking timelines, milestones, and deliverables.
- Update project status documents and dashboards using Microsoft tools.
- Coordinate with project stakeholders to gather updates and schedule check-ins.
- Maintain project files, documentation, and communication records.
- Flag potential issues or delays to the Operations Lead for resolution.
- Assist in preparing project summaries and status reports.
Digital Tools & Process Improvement (25%)
- Use AI tools (Claude AI, Microsoft CoPilot) to streamline routine administrative tasks.
- Help maintain SharePoint site structure, pages, and content organization.
- Create and update process documentation, templates, and standard operating procedures.
- Identify opportunities to automate repetitive tasks and improve workflow efficiency.
- Support the team in adopting new digital tools and technologies.
Who You’ll Work With
You'll report directly to the Operations Lead and work closely with members of the Office of the CTO. While you'll have occasional interaction with senior leadership (CTO, VPs), your primary collaboration will be with operational teams, project contributors, and cross-functional colleagues who support CTO initiatives.
What Makes You a Qualified Candidate
- Bachelor's degree (or equivalent experience) in any field; Business, Communications, Information Systems, or Technology preferred.
- Proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Word).
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and shifting priorities.
- Excellent written and verbal communication skills.
- Comfortable learning new technologies and digital tools.
- Self-motivated with ability to work independently once trained.
What You’ll Bring
- Prior internship, co-op, or work experience in operations, administration, or project support.
- Expertise with SharePoint or other collaboration platforms.
- Exposure to AI tools (ChatGPT, Claude, Microsoft CoPilot) for productivity.
- Basic understanding of project management concepts.
- Experience creating documentation or process guides.
- Experience with purchase order processing or procurement systems.
