Overview 

 

Reporting to the Manager, Global Order Management and Billing, The Manager, Order Management and Billing is responsible for leading and planning the Order Management and Billing (OMB) operations for a fast-paced, transformational organization. The individual is responsible for designing, implementing, and enforcing policies and procedures, as well as streamlining effective OMB processes across business units. This position requires a strong leader with the ability to prioritize, plan, and direct a team of 8-15 people, as well as making customer service a prime focus. 

 

Key Responsibilities 

The primary function of this position is to proactively manage all APJ’s order management processes related to order validation, creation, fulfillment, change order management, billing, and invoice distribution. These responsibilities include but are not limited to: 

  • Oversee all APJ order management and billing processes with a focus on delivering superior customer service while meeting customer billing requirements and deadlines 
  • Ensure all orders are booked, billed, and delivered timely and accurately 
  • Provide strategic direction for OMB APJ, including monitoring performance metrics, implementing new tools and technology, and ensuring the department can meet changing business requirements 
  • Work cross-functionally with Sales, Sales Support, and Accounting. 
  • Apply continuous improvement procedures to create a standardized work approach and address all non-conformance 
  • Document process changes and provide training to team members. Ensure an effective training program is defined and in place  
  • Collaborate with fellow leaders in Cash Applications and Collections to meet business objectives and develop ongoing enhancements to existing practices 
  • Maintain agile environment and re-prioritize workload of staff to balance expected daily processing workloads, system and data issue remediation, customer issue remediation, and strategic improvement projects 
  • Lead monthly OMB close processes  
  • Develop, monitor, and enforce controls to ensure billing information is accurate, timely and of the highest quality 
  • Create an inspiring team environment with a culture of open communication 
  • Oversee day-to-day operations; delegate tasks and set deadlines 
  • Motivate team members, monitor results, and report on metrics 
  • Discover training needs and provide coaching 
  • Listen to team members’ feedback and resolve any issues or conflicts 
  • Provide reporting and statistical guidance, including ad-hoc queries as necessary 
  • Prepare presentations for all types of audiences, from line staff to the Executive Leadership Team 
  • Support all audit and SOX compliance requirements as needed as well as define/redefine controls and processes for best practices 
  • Process day to day order management and billing orders 

 

 

Required Knowledge, Skills and Education 

  • BA/BS degree Business Administration, Finance, Accounting or related discipline 
  • 5+ cumulative years of industry experience in OMB 
  • 2+ years in a management or leadership function 
  • Proficient in English  
  • Japanese language skills a plus but not required 
  • Oracle eBusiness Suite – Order Management, Service Contracts and Invoicing modules as well as Salesforce highly desired 
  • Proficient in Microsoft Office; Especially MS Excel and PowerPoint 
  • Proven experience in implementing and controlling processes ideally within a lean business environment 
  • Ability to learn and adapt to new flows and software technologies 
  • Order management experience desired 
  • Successful previous utilization of process improvement concepts 
  • Experience in Project Management for products with high complexity
