External Description:

Our software products are distributed to clients and third parties all around the world, both electronically and physically. To make this as efficient and accurate as possible, the Analyst of Global Software Distribution is responsible for performing a wide variety of tasks in concert with globally distributed and cross-functional groups throughout the organization. Ensuring successful order fulfillment is paramount to both customer and company success.  

Key Responsibilities  

  • Fulfill electronic and physical delivery of our software products to a global client base. 
  • Validate software order requests against contractual agreements and all required approvals and/or documents (i.e. Purchase Orders, Commercial Invoices, etc.). 
  • Ensure all orders conform to policies & sales/commercials matrix, and coordinate with sales, finance, partners, order management and other stakeholders when revisions are required and/or approvals are necessary. 
  • Problem solve issues as they arise in global delivery of physical software products (i.e. customs/international shipping). 
  • Work with MDM and ERP systems to manage purchase orders, delivery receipts, product validations, and customer issue resolution. 
  • Ensure all sales orders are processed and scheduled within SLA upon receipt of order request. 
  • Provide cross functional operational support to sales, logistics and manufacturer partners on daily activities.  Point of contact for customer incidents throughout the software delivery process for both Physical and Electronic installs/upgrades. 
  • For electronic delivery, lead and support license key management applications & monitor customer activity. 
  • Monitor export compliance and Denied Parties List (DPL) reviews to ensure import/export regulations are followed. 
  • Maintain and monitor weekly metrics, including on-time delivery, expedite and rejection rates, etc. Identify areas for improvement and work with team to drive improvements. 
  • Maintain proactive communication with Sales, Alliance Managers, and Management on any urgent orders/exceptions. 
  • Assist in the ongoing documentation of ordering procedures including analyzing gaps within the order entry processes, participating in the development of new processes or techniques to resolve problems and prevent their re-occurrence. 
  • Maintain focus, processing throughput, and professional composure in a fast-paced environment, especially during high-volume periods at quarter end & month end. 

Basic Qualifications  

  • 3+ years’ experience in ordering/sales operations, Product Management, Order Fulfillment, successful Third-Party relationships, and analytical/administrative activities. 
  • Basic understanding of order management processes. 
  • Experience working with globally distributed teams. 
  • Ability to read and understand various agreements/documents to extract relevant data. 
  • Well-organized, detail oriented; able to calculate pricing in accordance to documentation. 
  • Exceptional communication & critical thinking skills. 
  • Proficient in the English language.
  • Able and willing to work EST standard hours.
  • This is a full-time, two-year project-based role, with potential of ongoing, permanent employment.

Preferred, but not required experience: 

  • Prior experience in enterprise software product distribution. 
  • Experience with ERP or MDM implementations.  
  • Familiarity with Database, Data Analytics, and Big Data technologies.
