Job Title: Administrative Assistant to the CISO 

Job Location: US, Remote

We are seeking an energetic, self-starter with excellent communication and project management skills to support the Information Security Department within Teradata.  The information security administrative assistant will report directly to the Senior VP, Chief Information Security Officer (CISO) and be responsible for assigned special projects, as well as providing executive support for the CISO-- managing meetings, calendar, events, communications, and financials.  Demonstrated experience with drafting reports, analyzing data, and authoring and editing executive level presentations and reports using appropriate software technology is essential. The administrative assistant will work with a high level of confidentiality and independence, need to be highly flexible, proactive, and be able to adapt in a high demand, quick changing work environment. Key attributes for success include excellent project management, organization, and communication skills, with an ability to work well with all levels of company management, as well as outside customers and vendors

Key Responsibilities:

Work on assigned special projects to gather and analyze data, conduct research, and draft communications for presentation to company executives. Supports special projects and reporting, as requested.
Effective communications and presentation support for the Chief Information Security Officer.
Effectively prepares and edits presentation materials, using templates, layouts and formatting to create reusable content.
Composes and prepares memos, letters, and other correspondence; comprehension and grammar review as needed.
Maintains organization charts, document repository, and email distribution list.
Requirements gathering and preparation of information for use in discussions/meetings of executive security staff - for both the CISO and attendees of the meeting.
Communicate with the highest degree of discretion, efficiency, and clarity via email, text, messaging, and telephone.
Record minutes of staff meetings, as requested, and manage action items and follow ups
Must possess the confidence and self-awareness to make executive decisions about scheduling and other necessary matters on behalf of the CISO.
Highly proficient in Office 365, Workday, Excel/Sheets with the ability to learn new software quickly.
Ability to support project management activities by packaging and tracking action items, schedules, and risks.  
Manage meetings within the office of the CISO.
Coordinate or produce written correspondence and presentation-quality slides in a timely and accurate manner for senior management and board-level audiences.
Proficient working with Finance, IT, and HR processes, forms, and communications 
Tracks budget plan and spend projection of the department
Processes department invoices and check requests through Accounts Payable.
Work in a multi-functional work group using proactive problem-solving skills
Handle confidential information with the utmost discretion. 

Experience, skills, and knowledge requirements

4+ years of Project Manager/Coordinator and/or Executive Admin experience with organizations of 30+ people
Prior experience with coordinating meetings, events, or special projects
Knowledge of presentation design, template usage and presentation delivery
Analytical, problem solving and decision-making skills
Extensive working knowledge and high proficiency with Microsoft Office Suite of products: PowerPoint, Excel, Word, and Outlook as well as WebEx or other collaboration communication tools.
Excellent written, verbal and interpersonal communication skills; strong editing and grammar skills. Proven ability to communicate clearly and concisely.

Basic Requirements

High school diploma or GED; Associates or Bachelor’s degree is preferred
Strong proficiency in Microsoft 365, SharePoint, Outlook, PowerPoint and Excel
Ability to proactively problem solve in a fast-paced work environment
Excellent organization and time management skills; strong scheduling skills
Works cooperatively with other team members, strong interpersonal skills
Demonstrated basic analytical & mathematical skills; ability to perform research, data gathering, basic data analysis. 

Preferred Requirements:

Experience supporting senior level executives
Experience working with a multi-national company
3+ years’ experience in the technology or security company
Associates degree or Certification in Business Administration, Office Administration, Project Management and/or Bachelor’s in Business Management preferred
