Role Description

The Sales Support Specialist, as part of the Finance Team, will work closely alongside the sales team and Corporate Order Management and will assist in all support areas of sales in accordance with established Company policies/procedures.

This specialist will be accountable for managing the operational Sales support process of GCA countries.

Key Areas of Responsibility

  • Order processing verifying and completing the quote received from the Sales Team.
  • Pre-build quotes submission: request the authorization, check the credit limit, and when the deal is closed, pricing the quote.

  • Prepare product related bundle PO/contract draft, per SFDC, bid P&L with coordination with sales, PS, CS, deal desk, etc.
  • Proceed PO chopping and courier signed PO to reseller and follow up PO signed back.
  • Coordinate with reseller to get LC issued (or cash) before HW/SW delivery to customer site
  • Invoicing requests forms submission for billing and credit notes.
  • Handle tax invoices for China and Taiwan maintenance contracts.
  • Send invoices to customers. Invoices can all be emailed or uploaded on web portals respecting 7 days limit between invoice date and mailing date.
  • Work with Credit Collectors to track delivery of invoices, provide any customer feedback e-mails and any admin correction required.
  • Liaise with UPS for import or export of goods and organize deliveries at customers’ sites, and obtain signed proof of delivery.
  • Insure correctness of Company Backlog file after monthly closing, identify errors (incl. mismatch of PID and Sales Org etc), old amounts or cleanup to be done and send requests to Order Management until it’s properly executed.
  • Insure correctness of inventory, make sure to bill all quotes of a transaction so that costs are charged timely with invoicing and in line with revenue recognition.
  • Handle vendor PO and payment related to Logistics, etc.
  • Update and confirm monthly inventory report and order report/HFM report with accounting team
