Role Overview

Located: London, United Kingdom

Reporting To: Execution & Enablement Service Co-ordinator

 

We are currently seeking an energetic, self-starter with excellent people skills to support a group of Regional Leaders. The role will be based in our London office. The Executive Administrative Support Assistant will support two (2) executives on a day to day basis however will be required to provide support to the wider Regional Leadership team (8) on an ad-hoc basis. The successful candidate must be able to operate within a fast-paced, rapidly changing growth environment, must be flexible and demonstrate the ability to manage ambiguity. The ideal candidate will need to operate within a high level of confidentiality, possess excellent interpersonal skills and experience with project coordination, as well as the ability to engage effectively with all levels of internal management and staff and third-party vendors. The role additionally requires a results-oriented, self-motivator who can work proactively and independently.

The ideal candidate should come from a strong administrative / operational background.

 

Specific Responsibilities

  • Scheduling and booking of appointments and conference calls
  • Arrange domestic/international air and ground travel, hotel accommodations, travel documents/visas, and all resulting itineraries.
  • Manage expenses, support special projects and financial & management reporting as required.
  • Assist with preparation of meetings, booking conference rooms, arranging conference call connectivity, audio/visual connections, catering, etc.
  • Communicate with the highest degree of efficiency and clarity via email, text, IM and telephone, providing editorial assistance and review (proof reading) of department-generated documents as required.
  • Maintain organization charts and key email distribution lists and assist with the sending out of region wide announcements and communications
  • Prioritize and make effective decisions on deliverables via requests from multiple stakeholders.
  • Plan events co-ordinating with other colleagues within the business as required.
  • Organization and facilitation of all Leadership team calls, and meetings Record minutes including follow-up of action items.
  • Working with key members of the team and business partners from other teams to pull together key management reporting information
  • Handle confidential information with the utmost discretion.

  • Excellent written, verbal and interpersonal communication skills, with strong editing, attention to detail and grammar skills (Active Listening, Verbalization & Written)

  • Strong analytical and troubleshooting skills able to break down complex problems

Computer/Technical Skills

  • Displays a high level of proficiency using technical equipment and able to quickly adapt and/or learn new technologies
  • Use with a high level of proficiency on a regular basis: Microsoft Office 365 (Office suite specifically Excel and PowerPoint), MS Teams, SharePoint, Workday Expense

 

Education and Experience

  • Minimum of 2 years commercial office experience
  • Minimum of 8 GCSE’s (Grade C or above) including English and Maths
